THE OPPORTUNITY
We are seeking a Deal Operations Manager to support two of our platforms (Sweet Leaf Finance and Exoticar Finance) to own the operational backbone of our deal lifecycle — from initial pipeline entry through post-close portfolio management. The capacity split is roughly 50% Sweet Leaf and 50% Exoticar. This is a high-ownership role. You will be the connective tissue between origination, underwriting, closing, and ongoing portfolio monitoring.
The right candidate is execution-obsessed, comfortable operating independently, and skilled at bringing order to a complex, fast-moving deal environment. You will be trusted to manage process, identify gaps, and deliver — then surface genuine blockers quickly and cleanly.
KEY RESPONSIBILITIES
Deal Lifecycle & Pipeline Management
• Own and maintain deal tracking across the active pipeline; update CRM (Pipedrive) daily with current status, next steps, and deal ownership
• Build and maintain operational dashboards and KPI reporting to track metrics (days-in-phase, funding velocity, SLA compliance)
• Liaison between Sales, Underwriting, Credit, Legal, and Accounting
• Identify stalled deals, document blockers, and escalate per established protocol
• Coordinate deal timelines and ensure all parties — internal and external — are aligned on critical milestones
• Manage and coordinate loan documentation from internal approval through closing, ensuring 100% closing checklist completion at close
• Organize and route financial documentation; track outstanding conditions in real time with 100% follow-up within 24 hours of identification
• Verify borrower-submitted information for accuracy and completeness before routing to underwriting
• Dealer/borrower setup execution in LMS — credit limit, pricing, users, GPS units shipped, etc.
• Support deal operations and closing processes
Process & Systems
• Identify operational pain points and proactively recommend workflow improvements
• Adhere to established SOPs; flag gaps or inconsistencies and contribute to SOP development and updates
• Support implementation of automation and technology solutions (AI, SharePoint, Power BI, CRM)
• Leverage available tools — including AI tools and internal documentation — as a first-line resource before escalating
• Prepare investor-facing reports, data room materials, capital raising support
QUALIFICATIONS
Required
• 4–6 years of experience in financial services operations, lending, private credit, or a closely related field
• Strong command of deal lifecycle mechanics — from origination through closing and post-close administration
• Demonstrated ability to manage multiple workstreams simultaneously with a high degree of accuracy and follow-through
• Proficiency with CRM tools (Pipedrive or equivalent) and Microsoft Office Suite
• Comfortable using AI tools (e.g., Claude, ChatGPT) and written SOPs as primary resources for self-directed problem solving
• Exceptional written and verbal communication; able to synthesize complex information into clear, actionable updates
Preferred
• Familiarity with loan management systems and document management workflows
• Track record of contributing to process improvements in an operations or lending environment
