As an Operations Manager, you will be responsible for overseeing all warehouse operations, including Receiving, Inventory, USDA/USDC Compliance, Selection, Outbound, and Transportation. Your primary focus will be ensuring efficient inbound and outbound processes, regulatory compliance, workflow optimization, and maintaining high standards of accuracy and efficiency in warehouse operations.

DUTIES AND RESPONSIBILITIES:

Receiving & Inventory Management

  • Oversee inbound receiving operations, ensuring efficient and accurate processing of received goods.
  • Supervise put-away associates to maintain accuracy and workflow efficiency.
  • Implement inventory control strategies to ensure accurate record-keeping, optimize stock levels, and prevent discrepancies.

Warehouse Administration & Compliance

  • Oversee warehouse clerical functions, ensuring seamless integration of documentation and compliance procedures.
  • Supervise the scheduling of inbound and outbound trucks, managing communication, and maintaining records.
  • Ensure compliance with USDA, USDC, FDA, HAACP and True Grade regulations and guidelines, implementing best practices for regulatory adherence.

Selection & Outbound Operations

  • Manage the True Grade selection process across all business units, leading the selection team and optimizing workflows.
  • Oversee the order fulfillment process, ensuring efficiency and accuracy in outbound operations.
  • Oversee the shipping process to ensure timely, quality and accurate outbound deliveries.
  • Verify shipping documentation, including invoices, packing lists, and bills of lading.
  • Track and monitor shipments, resolving any delays or discrepancies.
  • Conduct audits of shipping procedures to maintain compliance and accuracy.

Transportation & Logistics Management

  • Coordinate with transportation providers to ensure timely and cost-effective deliveries.
  • Optimize shipping routes and methods to reduce costs and improve efficiency.
  • Manage fleet operations, optimizing routing and scheduling for efficiency.
  • Monitor carrier performance and resolve logistics issues as they arise.

Staff Management & Leadership

  • Train, supervise, and assign tasks to warehouse staff.
  • Set performance targets, conduct evaluations, and provide constructive feedback.
  • Foster a safe, organized, and productive working environment.

Technology & Systems

  • Utilize and optimize warehouse management systems (WMS) for inventory/quality tracking, receiving and shipping.
  • Implement new technologies to improve efficiency and resolve system-related issues.

Budgeting & Cost Control

  • Identify and implement cost-saving opportunities.
  • Monitor and control warehouse and transportation expenses.

Safety & Regulatory Compliance

  • Enforce safety protocols and regulatory compliance within warehouse operations.
  • Conduct regular safety inspections, hazard assessments, and training sessions to ensure a safe work environment.

Process Improvement & Optimization

  • Identify opportunities to streamline warehouse processes, reduce order processing times, and improve workflow efficiency.
  • Implement Lean principles, automation, and technology solutions for enhanced productivity and cost-effectiveness.

Communication & Reporting

  • Maintain clear communication with other departments, all levels of the organization and external stakeholders.
  • Generate and analyze reports on warehouse and transportation performance, including key performance indicators (KPIs).
  • Provide performance analytics and insights to senior management.

Customer Service & Coordination

  • Collaborate with customer service, sales teams, and logistics partners to coordinate order fulfillment.
  • Provide timely updates on order status, delivery schedules, and shipping information to customers and stakeholders.

Performance Monitoring & Continuous Improvement

  • Track and analyze KPIs such as order accuracy, on-time delivery, and productivity.
  • Prepare reports, dashboards, and analytics to drive continuous improvement initiatives.
  • Support any additional requirements from upper management.

 

KPIs

Warehouse Productivity Index: Warehouse productivity index measures the overall productivity of supervised departments, taking into account factors such as order throughput, labor efficiency, and resource utilization.

Formula: (Total Output / Total Input) × 100

Tracking warehouse productivity index enables the assessment of operational efficiency, resource allocation, and performance improvement initiatives to enhance productivity and profitability in outbound operations.

Overtime Percentage: Overtime percentage measures the proportion of total labor hours worked in overtime relative to regular hours within a specific period.

Formula: (Total Overtime Hours Worked / Total Regular Hours Worked) × 100

Monitoring overtime percentage helps assess labor utilization, workload distribution, and workforce efficiency in outbound warehouse operations. A higher overtime percentage may indicate excessive workloads, inadequate staffing levels, or inefficient processes, requiring corrective action to improve workforce management and reduce overtime costs.

 

QUALIFICATIONS:

 

· A degree in logistics, supply chain management or business administration.

· Proven work experience as a logistics manager

· Proven ability to implement process improvement initiatives.

· Strong knowledge of warehousing key performance indicators (KPI)

· Experience with warehouse management software and databases.

· Leadership skills and ability to manage staff.

· Excellent communication skills.

· Strong decision making and problem-solving skills.

· Ability to effectively present information in small group situations to customers, clients and other employees of the organization.

· Ability to become certified in operating all the equipment used in the warehouse.

Communication Skills: Effective verbal and written communication skills to convey instructions, provide feedback, and collaborate with internal teams, external partners, and customers. Communication skills enable the Outbound Warehouse Manager to facilitate smooth coordination, address issues proactively, and maintain transparency in all communications.

Logistical Acumen: A deep understanding of logistics principles, transportation methods, and supply chain processes relevant to outbound warehouse operations. Logistical acumen involves knowledge of shipping regulations, carrier options, and route optimization strategies to streamline shipping processes and minimize costs.

PHYSICAL DEMANDS AND WORK ENVIRONMENT: 

  • Cold storage environment with temperatures ranging from -20°F to 0°F.
  • Standing, walking, and lifting for extended periods.
  • Use of personal protective equipment (PPE) including freezer suits and gloves.
  • Ability to lift and carry heavy objects, ranging from 25 to 75 pounds or more.
  • Comfort with repetitive motions, including reaching, stretching, and pulling items from shelves.
  • Ability to navigate through the warehouse quickly and efficiently.
  • Endurance for extended periods of standing and walking on concrete floors.
  • Agility and coordination to move quickly and safely in a busy warehouse environment.
