NeuroPace is looking for a proactive, detail-driven HR Operations Specialist to join our team. In this role, you’ll be the backbone of our Human Resources function — reporting to the Senior HR Manager and supporting everything from onboarding to offboarding, compliance to culture, and helping us achieve our mission in a workplace that people are proud to be a part of. This role will be based in the NeuroPace Mountain View Headquarters. Must be locally based and able to be onsite two days a week.

What You’ll Be Doing

HR Operations & Administration  

  • Create and manage digital personnel files to ensure accuracy, accessibility, and compliance  
  • Coordinate a seamless onboarding process including ADP pre-hire steps, background checks, OFAC/OIG screenings, and orientation facilitation  
  • Conduct exit interviews, prepare termination documentation, and manage offboarding logistics  

Systems & Reporting  

  • Administer ADP Workforce Now: create accounts, maintain employee records, and generate standard and ad-hoc reports  
  • Manage HR-related training accounts and assign required courses  
  • Generate and route digital Employee Status Notifications (ESNs) for employment changes including compensation  

Employee Experience & Culture  

  • Serve as the first point of contact for Tier 1 employee questions  
  • Support benefits administration, including reviewing and reconciling invoices  
  • Assist with company-wide communications: create slides for new hires, service awards, and HR updates  
  • Support engagement efforts such as performance reviews, surveys, and culture initiatives  

What You’ll Bring  

  • A Bachelor's Degree and at least 3 years of HR, People Ops, or similar corporate administrative experience  
  • Familiarity with ADP Workforce Now (or similar HRIS), or equivalent experience  
  • Proficient in MS Office Suite (including SharePoint, Outlook, Teams)  
  • Strong systems & process orientation; experience setting up system integration with API’s a plus  
  • Exceptional attention to detail & time management/organizational skills  
  • Demonstrated ability to prioritize and/or ask for support when workload & priorities are shifting  
  • Must be a clear and compassionate communicator — both written and verbal  
  • Discreet and trustworthy with sensitive employee information  
  • Customer Service or Customer Support experience is a plus

$95,000-$105,000K Base - Compensation will be determined based on several factors including but not limited to skill set, years of experience and geographic location.
