Role Description
We are seeking a highly organized, proactive, and adaptable Chief of Staff to support our Chief Executive Officer and lead cross-functional initiatives across the organization. This is a full-time role with potential to be remote, depending on location (however, applicants in the Houston, TX or Boston, MA regions are strongly encouraged to apply). Up to 25%-50% travel is expected, including regular attendance at conferences, customer site visits, and offsite events.
The Chief of Staff will serve as a strategic partner to the CEO, helping manage internal operations and high-touch external engagements. This includes financial and administrative duties (such as making payments, preparing invoices, approving transactions, managing accounts receivable), human resources support (recruiting, onboarding, employee engagement), coordination of meetings and events, and direct engagement with customers, partners, and internal teams.
The ideal candidate will thrive in a dynamic, fast-paced environment, bring clarity and structure to evolving priorities, and act as a trusted advisor and connector across departments. This is a leadership role suited for someone who communicates clearly, thinks strategically, and builds trusted relationships at all levels.
Key Responsibilities
Executive Support & Strategic Operations
- Operate as the CEO’s right hand—managing their time, focus, and follow-through across key priorities.
- Own calendar management, meeting preparation, travel logistics, and coordination of internal and external engagements.
- Track strategic priorities and ensure execution of initiatives across the organization.
- Summarize key issues, prepare briefing materials, and support decision-making with concise analysis.
Administrative & Financial Management
- Manage day-to-day financial administration, including making payments, preparing invoices, managing accounts receivable, and reviewing/approving internal transactions.
- Support contract review processes for basic agreements such as NDAs and vendor contracts.
- Ensure smooth office operations, supporting both remote workflows and in-person logistics when needed.
People & Culture / HR Coordination
- Support recruitment and onboarding of new hires in coordination with hiring managers and external partners.
- Act as a resource for employees on HR-related needs, helping to maintain a responsive and supportive workplace culture.
- Assist in planning and coordinating internal communications and company-wide initiatives.
Customer & Stakeholder Engagement
- Represent the company and CEO at conferences, events, and customer site visits.
- Help manage key relationships with clients, investors, and external collaborators.
- Coordinate customer meetings, demos, and high-touch experiences with a focus on quality and professionalism.
Event & Travel Planning
- Plan and execute domestic and international travel, offsites, retreats, and team gatherings.
- Provide logistical and hands-on support for CEO engagements, ensuring seamless execution and hospitality.
- Help manage brand-facing opportunities, conference booths, investor relations, and special events.
