About the Role
The Supervisor oversees the day-to-day functions of both administrative and operational support roles, ensuring workflows are followed, deadlines are met, and quality standards are upheld. This includes monitoring performance, providing hands-on support, and serving as a point of escalation for complex or sensitive issues. The Supervisor works closely with internal teams to coordinate cross-functional efforts and ensure smooth operational execution. This role requires strong leadership, organizational, and problem-solving skills, as well as the ability to effectively communicate with both internal stakeholders and external clients. The ideal candidate is a player-coach, someone who contributes to daily deliverables while also coaching and mentoring team members to promote accountability, efficiency, and high morale.
Responsibilities
- Partner with the Legal Operations Manager to implement and maintain training programs, ensuring Coordinators have the tools, resources, and support needed for professional development.
- Monitor and approve time and attendance records, including PTO, UTO, and VTO requests.
- Communicate and enforce best practices, procedures, and quality control measures to ensure team output aligns with organizational and legal standards.
- Conduct weekly one-on-one meetings to provide ongoing coaching, training, and development opportunities, keeping Coordinators aligned with evolving tools, processes, and compliance requirements.
- Lead regular performance reviews, delivering constructive feedback and creating individualized growth plans to support career development.
- Monitor call volume and allocate resources effectively, assigning Coordinators to queues and tasks that align with their bandwidth and capacity.
- Oversee the handling of incoming calls, emails, and other lawsuit-related communications, ensuring all interactions are accurately logged and routed to the appropriate stakeholders in a timely manner.
- Act as the primary escalation point for complex or sensitive issues, resolving concerns while maintaining strong relationships with clients, courts, and opposing counsel.
- Oversee calendar management for the attorney team, coordinating client appointments, court appearances, hearings, settlement discussions, and other case-related meetings to ensure timely, organized, and professional engagement with all parties involved.
- Identify and escalate Coordinator challenges and workflow inefficiencies, helping to mitigate risk and drive continuous improvement.
- Oversee operational processes related to fee reporting, template management, and court organization by jurisdiction, ensuring accurate financial tracking, consistent document standards, and streamlined workflows tailored to state-specific requirements.
- Collaborate with Legal Operations Manager and the Quality Department to implement, improve, and maintain quality programs, ensuring accuracy and consistency in Coordinator work.
- All other duties as assigned.
Qualifications
- A combination of education and experience will be considered.
- Associate degree in paralegal studies, business administration, or a related field required.
- Minimum of 5 years progressive operations experience, with at least 2 years in a leadership role, preferably within a law firm.
