Job Description:

We are looking for a highly organized and detail-oriented Project Management / Employee Relations Specialist. This role will support our employment legal and employee relations team by managing projects, building trackers, processing contracts, handling document management and collection, tracking compliance, and coordinating administrative tasks. The ideal candidate will be responsible for discreetly handling sensitive information, organizing documents properly, and facilitating communication between internal teams and external partners. This position requires 30-40 hours per week, depending on capabilities, and offers the opportunity to work closely with HR and Legal professionals in a fast-paced environment.

Responsibilities include:

  • Project management (organizing, managing, and tracking projects; ensuring milestones are met; collaborating with stakeholders; creating presentation slides; managing vendor onboarding and customization; systematizing/automating processes; coordinating training, compliance, and logistics)
  • Contract and document management (processing Coupa Contracts, facilitating revisions, collecting/organizing litigation discovery and demand letters, tracking/labeling disclosures, transferring sensitive litigation data, uploading case records, and ensuring compliance)
  • Compliance and tracking (tracking/calendar litigation deadlines, following up on law firm invoices, completing investigation audit workbooks, assisting with settlement agreement compliance)
  • Slide deck presentations (assembling professional presentations)
  • Administrative coordination (scheduling meetings, interviews, and depositions; facilitating Adyen/Hotline/Case Management Vendor integration; following up with law firm administrators; and performing other administrative tasks)

The role requires 3-5 years of experience in a similar role, strong organizational skills, meticulous attention to detail, excellent verbal and written communication skills, ability to handle sensitive information with strict confidentiality, proactive and responsive to urgent requests, and infrequent travel for event coordination and management. The candidate must work from the NYC office one day per week to coordinate logistics for NY-based Respectful Workplace trainings. The contract length is 1 year. Technically proficient with Google Suite, slide development, case management tools, and administrative platforms.
