Job Description:

We are seeking an Operations & Administration, Director to join our ever-growing team and organization, working on the ultra-high-net-worth clients within the ULTRA (ULTR) business segment. The individual will lead a team of Client Service Associates and Administrators, to provide seamless support to our advisory team and ensure the highest level of client satisfaction by oversee the day-to-day operations of asset movements, new accounts, client onboarding, accounts services and alternative investments.

Tasks

  •  Lead and mentor a team of professionals across Client Service and Operational Administration, fostering a culture of excellence and collaboration.
  •  Conduct performance evaluations, provide feedback, and guide professional development for team members.
  •  Manage escalated requests, resolving complex client and operational challenges efficiently.
  •  Oversee processes for asset movements, including wires, journals, checks, ACHs, and alternative investments.
  •  Ensure adherence to fraud and cybersecurity procedures and compliance with regulatory requirements.
  •  Monitor daily treasury operations, including trading, cashiering, and problem resolution.
  •  Optimize workflows and ensure operational congruence between departments.
  •  Supervise new accounts setup, onboarding, and ongoing account services.
  •  Collaborate with the Alternative Investments team to manage private equity, hedge funds, real estate, and other non-traditional assets.
  •  Enhance the client experience through proactive problem-solving and alignment of internal processes with client needs.
  •  Partner with advisors to provide subject matter expertise and ensure timely responses to inquiries.
  •  Work closely with custodians and third-party vendors to streamline transactions and address issues.

Collaborate with leadership to implement best practices and develop strategic initiatives that improve efficiency and service quality.

Required Education And Experience

  •  Bachelor’s degree in Finance, Business Administration, or a related field. Advanced certifications (e.g., CFP, CFA) are a plus.
  •  3–5 years of experience in a management role within financial operations, wealth management, or investment advisory services.
  •  Comprehensive understanding of traditional asset management, including dollar-cost averaging, asset allocation, and tax implications of transactions.
  •  Expertise in custodial platforms (e.g., Charles Schwab, Fidelity, TD Ameritrade) and alternative investment operations.
  •  Strong leadership skills with a proven track record of managing and developing high-performing teams.
  •  Exceptional problem-solving abilities and a commitment to operational excellence.
  •  Proficiency in technology platforms and tools, with an aptitude for learning new systems.
