Job Description:

We are seeking a highly motivated and skilled Chief of Staff to serve as the right-hand partner to our executive, managing the day-to-day operations and strategic initiatives.

This role requires a blend of operational excellence, strategic oversight, and executive support. The ideal candidate will be a proactive problem-solver and a master of execution, capable of driving business growth, ensuring operational efficiency, and maintaining a high level of client satisfaction.

Key Responsibilities:

Executive Project Management  

  • Lead high-impact strategic initiatives and cross-functional projects.  
  • Manage corporate events and ensure brand consistency across all platforms.  
  • Oversee the implementation of new operational tools.  
  • Manage complex calendar coordination, travel logistics, and appointment scheduling for both business and family needs.  
  • Handle confidential financial management, expense processing, and general administrative coordination.

Client Relationship Excellence  

  • Manage comprehensive CRM optimization and client database management across the full client lifecycle.  
  • Coordinate all client communications, events, and relationship-building initiatives.  
  • Facilitate financial planning coordination with third-party professionals and handle general account maintenance.  
  • Manage client service operations, including distributions, transfers, and billing inquiries.  
  • Manage the new account opening process and gather all required documentation.  
  • Cultivate and maintain relationships with referral partners and organize related events.

Compliance & Regulatory Oversight  

  • Maintain detailed documentation and compliance calendars, supporting all audit efforts.  
  • Support new business development initiatives within all compliance frameworks.

Who We're Looking For

  • Experience: Proven experience in a Chief of Staff, Director of Operations, or a similar high-level administrative/strategic role, preferably within a financial services or startup environment.
  • Skills: Exceptional organizational, communication, and project management skills. Must be highly resourceful, proactive, and capable of working in a fast-paced environment.
  • Discretion: A high degree of discretion and the ability to handle confidential information with professionalism is essential.
  • Systems: Familiarity with wealth management systems preferred but not required (e.g., Wealthbox)
